Explanation

The Units screen of ExpressMaintenance is used to insert and maintain all data relating to equipment and other items.  The screen contains the primary data in the upper half.  More detailed data is found under the various tabs located in the lower half of the screen.  This help topic covers the Units - Attachments & Devices

Attachments

Use the Attachments section to attach other application files to a unit.  Using the Data Navigator bar just below the "Attachments" tab, press the insert record button, and a new record will appear.  Press the "Post Edit" (green check box) to save your changes.

 

Type -The first dropdown box called "Type" will allow you to choose the type of attachment. Choose between file, folder, url link, or attach another "Unit" to this one. Examples are: pdf pages with parts diagrams, vendor inspection reports for the unit, maintenance and service manuals, etc.  Attaching units allows the user to list other pieces of equipment that are part of the same process. Similarly, major components of individual units can be entered as units themselves and attached here.(example: a large horsepower motor may be a separate unit, but also a component of another larger unit.

Code - The second column contains a dropdown box called "code", that allows the user to further identify the type of attachment used. For Example: PDF,  Autocad File, Excel file, jpeg, Unit(equipment) etc.   Pressing the <manage codes> option at the top of the dropdown box, takes the user to the ADMIN section that will allow you to enter and edit codes available for this field. As this is an ADMIN function, entering codes is restricted by permission.

Reference - The next column called "Reference" is where you type/copy the address to where the attachment will be stored. The files are not actually stored in ExpressMaintenance, rather a reference to the file type and location is listed. Example: C:\Users\jbrown\ownCloud\Shared\50-00 Technical Services - Training\Em Docs for Demo DB\Index Maint Manual.pdf. You can set the default path where files are stored under the Administration/Configuration/Data Settings-Default Attachments Folder. If the attachment is a "unit" or another piece of equipment in the system, the dropdown box will show units available to attach. When a unit is entered as an attachment, the Attached Unit record, Unit record, and Record Number Fields will fill in automatically.

Description - The Description column is used to further describe the attachments. Examples for File attachment desciptions can be "OEM Manual", "Parts diagram", "Maintenance Manual", "Vendor pm Inspection", etc.

Grid Properties - The columns available and their order of appearance can be edited by pressing the asterisk in the upper left corner of the grid.

 

Printing

To print a unit data sheet, simply click on the Print button.  To print various unit reports, see Maintenance Reports.
